I like to keep things simple, transparent and professional — the details below outline how I work and what you can expect when booking Pete Martin Photography.
1. Booking & Payment
Your booking is confirmed once agreed in writing (email is sufficient).
- Non-account clients: Payment is required 7 days before the shoot
- Account clients: Payment due within 14 days of invoice
Images will not be released until full payment has been received.
2. Delivery
Edited images are typically delivered within 3–10 working days via a secure online gallery or file transfer. Turnaround times may vary depending on the project.
3. Image Usage & Copyright
All images remain the intellectual property of Pete Martin Photography in accordance with UK copyright law.
Once payment has been made, you are granted a licence to use the images as agreed (e.g. website, marketing, LinkedIn).
Images may not be resold, heavily altered, or used outside the agreed scope without permission.
4. Portfolio Use
Images may be used for portfolio, website, social media, and promotional purposes. If confidentiality is required, this must be agreed in advance.
5. Cancellations & Rescheduling
- Within 10 working days: up to 50% of the fee may be charged
- Within 1 working day: up to 100% of the fee may be charged
Where possible, I will always aim to reschedule.
6. Weather (Outdoor Shoots)
If weather affects a shoot, we’ll work together to rearrange. Any unrecoverable costs may still apply.
7. Events & Group Bookings
The client is responsible for ensuring suitable access, cooperation of participants, and a safe working environment.
I reserve the right to stop work if conditions are unsafe or behaviour is inappropriate.
8. Exclusivity (Events)
For events where photography sales are involved, I may be the exclusive provider. Any conflicts must be agreed in advance.
9. Equipment Responsibility
Where equipment is provided, the client is responsible for any damage caused by guests or attendees.
10. Fees & Changes
Quotes are based on the agreed brief. Changes (e.g. additional time, locations, or usage) may incur additional fees.
11. Liability
Public Liability Insurance: £1,000,000
Professional Indemnity: £25,000
Liability is limited to these amounts. I am not responsible for delays or issues outside my control.
12. Force Majeure
I am not liable for failure to deliver services due to circumstances beyond my control (e.g. severe weather, illness, travel disruption).
13. Data Protection
All client data is handled in accordance with UK GDPR and used only for delivering photography services.
14. Image Storage
Galleries are available for 14 days. Please download and back up your images promptly.
Where possible, expired galleries can be restored for a fee.
15. Governing Law
These terms are governed by English Law.
Privacy and website chatbot
When you use our website chatbot, we collect the messages you enter and, if you choose to provide it, your email address. We use this information only to understand and respond to your photography enquiry; it will not be used for email marketing without separate consent. Chatbot information is processed using Cloudflare’s services and retained for no longer than 90 days. Providing an email address is optional, and you should not enter sensitive personal information into the chatbot.
